Quick Guide Graphic
VitalâŻStatistics Form (AutoâSend)
What You Can Do:
Contact our Support Team to configure the Vitals form to autoâsend as soon as a new case is created.
Why It Helps:
Capturing vital stats right away streamlines everything. Autoâsending ensures those fields sync into CaseâŻDetails immediatelyâno extra clicks required.
Best Practices:
Use separate Vitals templates for each case type (AtâNeed, Imminent, PreâNeed) so families see only relevant fields.
Confirm that the correct Vitals form lands in the familyâs inbox as soon as you create the case.
Core Forms (AutoâSend by Service Type)
What You Can Do:
Contact our Support Team to configure specific forms to autoâsend based on the service or package selected.
Examples:
DirectâŻCremation Authorization â only for families choosing direct cremation
Burial AuthorizationâŻ/âŻBurial Permit â only for families choosing a traditional burial
Why It Helps:
Families in each service category get exactly the documents they needâautomaticallyâwithout you having to remember which forms to send
Best Practices:
Test by creating a âDirectâŻCremationâ case or a âBurialâ case to confirm the correct forms arrive automatically.
Library Forms (ManualâSend / OnâDemand)
What You Can Do:
Contact our Support Team to upload any additional forms to your Forms Library for manual dispatch.
Examples of OnâDemand Forms:
Veteran Benefits Worksheet (only if the deceased qualifies)
ReligiousâŻ/âŻDenominational Preference Forms (e.g., cemetery dedication paperwork)
Special Permits (airport transit permits, county/stateâspecific documents)
Health Department Questionnaires (where local rules require them)
Why It Helps:
These forms apply only to specific situations. If they autoâsent for every case, families who donât need them would get confused. By storing them in the Library, you can click âSendâ only when a case requires a particular form.
Best Practices:
Name each form clearly (for example, âVeteran Benefits Worksheet â Veterans Onlyâ).
When a case needs a specific document, open the Library, select that form, and send it. The signed form will then appear in CaseâŻDetails under âFormsâŻ&âŻDocuments.â
Example Workflow
Use this simple fourâstep flow to see how autoâsend and manual forms work together:
Family completes online checkout.
Vitals + core forms autoâsend.
Send any extra required forms manually (from the Library).
All submitted data populates in CaseâŻDetails.
Ongoing Maintenance & Tips
Review Quarterly
Contact our Support Team to remove any forms you no longer use.
Contact our Support Team to add newly required forms (e.g., new permits, updated questionnaires) to the Library.
Clear Filenames
Give each form an intuitive name that reflects its purpose and service type (for example, âAuthâŻ&âŻRelease â DirectâŻCremationâ) so itâs obvious when selecting from the Library.
Keep AutoâSend Rules Simple
Avoid layering multiple conditions. If a form is needed only for âDirectâŻCremation,â do not add extra criteria that could prevent it from firing.
Use Icons or Color Codes (Optional)
If you manage many templates, consider adding a small icon or colored label next to each form in the Library to spot the right document at a glance.
